Privacy Policy

This Privacy Policy explains how Voss OS collects, uses, stores and protects information when you use our platform — including our CRM, automations, websites, bookings, messaging, analytics, lead capture and AI features.

1. Information we collect

When you use Voss OS, we collect information you provide directly — including your name, business name, email address, phone number, billing details and any content you create inside the platform (such as contacts, pipelines, messages, forms, websites, automations and bookings).

We also automatically collect technical information such as IP address, device and browser type, pages viewed, referring URLs, time zone and usage events. This helps us keep the platform secure, stable and improving.

2. How we use your information

We use your information to operate and improve Voss OS, deliver the features you've subscribed to, process payments, provide onboarding and support, send service notifications, prevent abuse, and communicate updates relevant to your account.

We do not sell your personal information. We do not share your customer data with third parties for their own marketing purposes.

3. Cookies and similar technologies

Voss OS uses cookies and similar technologies to keep you signed in, remember preferences, secure your session, and measure how the product is used. You can control cookies through your browser settings, though disabling them may impact certain features.

4. Analytics

We use privacy-respecting analytics to understand product usage in aggregate — which features are used, where users get stuck, and how to improve performance. Where possible, analytics data is pseudonymised and not used to identify individuals.

5. Third-party integrations

Voss OS connects to third-party services such as payment processors, email and SMS providers, calendar systems, AI providers and infrastructure platforms so the product can function. When you enable an integration, the relevant data is shared only as needed to deliver that feature.

Each provider operates under its own privacy and security policies. We choose providers that meet recognised security standards.

6. AI features

Some features inside Voss OS use AI to assist with drafting, summarising or routing content. Inputs to AI features may be processed by trusted AI providers solely to return a result. We do not allow AI providers to use your customer data to train their general models.

7. Data storage and security

Your data is stored on enterprise-grade infrastructure with encryption in transit and at rest. We apply role-based access controls, audit logging and routine security reviews. While no system is perfectly secure, we take reasonable steps to protect your information against loss, misuse and unauthorised access.

8. Your rights

You have the right to access, correct, export or delete your personal information. You may also object to certain processing or withdraw consent where processing relies on it. To make a request, contact us at support@vossos.com.au and we'll respond within a reasonable timeframe.

9. Communication preferences

We may send you product updates, onboarding guidance and occasional feature announcements. You can opt out of marketing communications at any time using the unsubscribe link or by contacting us. Service-related messages (billing, security, account changes) will continue while your account is active.

10. GDPR and privacy compliance

Voss OS is designed with the principles of the Australian Privacy Act, GDPR and similar privacy frameworks in mind — including lawful basis, data minimisation, purpose limitation and user rights. If you're a customer of one of our users, please refer to that business's own privacy policy for how they manage your data.
